What Do You Need to Run a Prop Firm?

Not a wishlist. The actual minimum you need to run a funded trader business in 2026. Platform, payments, hosting, legal structure, and what to add later.


The Actual Minimum

Most guides about starting a prop firm list 20 things you need. Half of them are not required on day one.

This is the real list. What you actually need before you take your first challenge sale, what you need within the first 30 days, and what can wait until the business is generating revenue.

Before You Launch: The Non-Negotiable List

I wrote this list down on day one of building LaunchPropFirm. These are the only non-negotiables.

A prop firm platform

This is the core infrastructure. Without it, you cannot accept challenge signups, track trader performance, process payments, or manage funded accounts.

Options: Build from scratch (12 to 18 months, $150,000 to $500,000) or buy a white label platform (one time from $2,500, live in 7 days).

A domain name

Your firm needs a web address. A .com domain costs $12 per year. Get one that is clear and professional. Your firm name followed by .com is the standard.

VPS hosting

A Virtual Private Server to run your platform backend. Basic VPS handles early stage traffic for $15 to $20 per month. Your frontend can run on Vercel for free.

An MT5 live price feed

Your traders need real market prices on the terminal. An MT5 price feed subscription runs $30 to $50 per month. This is what makes the trading environment realistic.

Stripe account

For card payments from traders. Stripe accepts prop firm businesses in most countries when your terms clearly explain the simulated nature of accounts. Getting approved takes 24 to 48 hours.

A USDT wallet address

For crypto payments. TRC20 or BEP20 USDT. Transaction fees under $1.

Most international traders prefer crypto. This is free to set up.

Terms and conditions

A clear document explaining what traders are buying. Must state that accounts are simulated, that challenge fees are non-refundable if rules are breached, and how funded account payouts work. A lawyer can draft this or you can adapt a standard prop firm template.

A registered business

Register a company in your jurisdiction. Sole trader or limited company depending on your country. This is not optional. you need a legal entity to receive payments.

Within 30 Days of Launch

KYC process for funded traders

When a trader reaches funded status, you need to verify their identity before paying out. Manual review of passport or national ID is enough at small scale. Free.

A payout reserve

Set aside 25 to 30% of every challenge fee received. Do not spend this.

It covers funded trader payouts. Not a cost. A liability reserve.

Basic email support

A professional email address for your firm. Traders will have questions. Responding within 24 hours builds trust.

A refund policy page

Even if your policy is no refunds for failed challenges, having a published policy reduces disputes and chargebacks.

What You Do Not Need on Day One

A custom-built platform. White label is faster and cheaper.

A CRM system. Your platform admin panel handles trader management at small scale.

Paid ads. First sales come from your existing network or organic content.

A compliance team. Not required for the evaluation model in most jurisdictions.

Automated KYC software. Manual review works fine under 100 funded accounts.

A customer support team. One person handles support at small scale.

An office. This is an online business. No physical location needed.

Challenge rules that attract the right traders. Not so strict that no one passes, not so loose that everyone passes and payouts drain reserves.

Operator Tip: The minimum viable prop firm requires four things: a platform, a domain, a payment processor, and a payout reserve. Everything else (branding, marketing, social media, affiliates) improves the business but is not required to open the doors. Get those four things functional first, then layer on everything else.
